What's New for 1999!

This space is used to announce updates to the Oregon State University Archives and Records Management Web page, to introduce new exhibits, to publicize events of interest to archivists and university records managers, and to explain the happenings in the Archives. The following announcements highlight significant additions, changes and events that occurred in 1999.


December 1999 Announcements


New Records Schedule Available on the Web

The new General Records Retention Schedule is now available for use on the University Archives Web site at http://osulibrary.oregonstate.edu/archives/schedule/index.html. This schedule is a version of the Oregon University system records schedule (OAR 166-475) that has been customized for use by OSU staff.


Records Retention Schedule Workshops

The OSU Archives and Records Management Program and OUS Records Management Services will be teaming up on December 14 to present two sessions of a workshop on how to use the new records retention schedule, "Understanding and applying the records retention schedule." The sessions will be from 10-11:30 am and 2-3:30 pm in MU 206. They are open to OSU departmental records officers and OUS Chancellor's office staff members who work in Corvallis.


Archives and Records Management Handbook

The revised Archives and Records Management Handbook is in progress, with an anticipated distribution in early January. It will include updated information on several archives/records management policies and procedures, as well as a "streamlined" version of the records schedule that will contain the 75-80 most common records series. The Web version of the new handbook should be available later in January.


New Display

The services and collections of the OSU Archives are showcased in a new display on the main floor of the Kerr Administration Building (near the central stairway). One or more of the images in the display will be changed periodically to highlight campus events, anniversaries, or traditions.


Sampler of Historical Images

An OSU Archives' Sampler of Historical Images is now available on the University Archives web site. This page provides links to a variety of images from the OSU Archives' holdings. New images will be added regularly, so check it frequently!


Additions to Collections

Office of Budgets and Planning Records pertaining primarily to information resources and institutional research from the early 1960s to the present have been recently transferred to the Archives. These include faculty salary surveys and reports; staff statistics; reports of student enrollment, student credit hours, and instructional costs; and space utilization studies and facilities proposals.

A variety of materials pertaining to the OSU Bands from the mid-1960s through the 1990s have been transferred from the Music Department. These include programs, brochures, newspaper clippings, and correspondence about performances; sound recordings of Symphonic Band, Pep Band, and Jazz Ensemble performances; photographs of the OSU Marching, Symphonic, and Basketball Bands, Jazz Ensembles, and other musical events; and videotapes of OSU Marching Band performances.


Staff Changes

In October Student Archives Assistant Amanda Sater resigned to pursue other interests, and the Archives welcomed Jothan (Jody) Lawrence. Jody also works in our parent office, Budgets and Planning, for part of his working hours. We welcome Jody, who already has been a great help in the Archives.


September 1999 Announcements


Notable Recent Accessions

Several OSU departments and offices have transferred records to the Archives during the last several months. The Western Rural Development Center closed at Oregon State University at the end of June and was transferred to Utah State University. Records of the Center's almost 30 years of research and extension programs were transferred to the Archives and added to the Agricultural and Resource Economics Department Records (RG 128).

Library Records (RG 9), including biennial reports of the OSU Librarian for 1964/66 - 1980/82, Oregon State System of Higher Education (OSSHE) Central Library Office biennial reports for 1932/34 - 1976/78, and OSSHE Inter-Institutional Library Council meeting minutes, were transferred from the Valley Library.

A recent addition to the College of Home Economics and Education Records (RG 141) consists of annual reports; administrative committee and faculty meeting minutes; college newsletters; and records of the Oregon Home Economics Association annual meeting. Records pertaining to the establishment of a Child Care Center at OSU have been received from Student Affairs (RG 102). The Animal Sciences Department has recently transferred additional records and photographs of the former Poultry Science Department (RG 182 and P111) to the Archives. These include feed rations records; publications, reports, and student papers and theses; faculty biographical files; color slides; and a photograph album. Several additions have been received for other poultry science collections including the Hanson Leghorn Farm Records, the James A. Harper Papers, and the Harry S. Nakaue Papers.

Small collections of papers of two former OSU faculty members have been received recently: The Harry Freund Collection (1939-1962) and the David B. Nicodemus Papers (1945-1960). Freund was a chemistry professor and Nicodemus was Professor of Physics and Dean of Faculty. The Eleanor May and Frances Miriam Spike Scrapbooks consist of photographs, clippings, and memorabilia assembled by the Spike sisters while students at Oregon Agricultural College in the 1920s and 1930s.

Videotapes recorded and/or produced by the Communication Media Center (P 119 F/V) and including commencement; University Day; lecturers by faculty and visiting speakers; and training and informational tapes were recently transferred from the Valley Library's multimedia collections.

Most issues of the Descriptive Research Bulletin were recently transferred from Counseling and Psychological Services. The Bulletin consists of periodic reports of applied research projects done by the Center for Research on Student Life and Development and the Counseling and Testing Center from 1969 to 1988. The reports pertain to academic performance, retention, graduation rates, family income levels, student attitudes toward alcohol and drug abuse, international students, and other issues pertaining to students' academic performance and student life.

Additions to our Web Site

Collection descriptions that are now available on-line are the Bioresource Engineering Department Photograph Collection (P 106) and the Sports Media Guides (PUB 54).

The Archives has added a new search engine by Infoseekto the web pages including the Home Page, the pages of the Retention Schedule, Historical Holdings, Institutional Records, Photographs, Manuscripts, and Motion Pictures/Videotapes. Easy to follow instructions showing how to use the search engine are listed at these sites.


Gifford Exhibit

Photos by Gifford: An Oregon Legacy opened at OSU Central Oregon in Bend on September 23rd and will be on display through December, 1999.


Sprucing Up the Archives

After the April opening of the Archives' Reference Room, the staff realized how much the office part of the Archives needed painting, and this has been done with great success. The walls are now brighter and easier on the eyes. In addition, the hallways outside the Archives have been re- painted and the photograph exhibits are being re-installed. Several patrons and OSU co-workers had mentioned missing the chance to view photographs in the hallway.
Staff News

Larry Landis, University Archivist, attended the Society of American Archivists (SAA) Annual Meeting in Pittsburgh August 23rd - 28th.


New Records Retention Schedule Update

The proposed OUS Records Retention Schedule, which will serve OSU, will be the subject of an Oregon Administrative Rule Public Hearing on October 4, 1999 at 10 am. The hearing will be held at the Oregon State Archives Building, 800 Summer St. NE, Salem. The proposed schedule is available on the OUS web site at http://www.ous.edu/archives/schdmain.html.


July 1999 Announcements


Reference Room

The Archives hosted an Open House to celebrate the opening of its new reference room on June 9th. It was well attended by friends and coworkers, with punch and cookies being served. If you haven't had a chance to stop by and see the reference room, please do so. It is open from 8 am to 5 pm Monday through Friday, and it is staffed by one of the archivists during those time periods.


Staff News

Elizabeth Nielsen has been named the Senior Staff Archivist at the Oregon State University Archives. In this capacity, she will coordinate all reference, outreach and records processing activities.

Larry Landis was recently named University Archivist, after having served as Acting University Archivist since December 1996.

In June, the Archives said goodbye to Shawn Scarlett, our lead Student Worker. Shawn has worked in the Archives for 2 ½ years, and now is ready to start an internship in his chosen field of Pharmacy. We wish him good luck and hope he will stop in and see us once in a while.

The Archives has hired Kelly Thurman, a pre-med student from Corvallis. Kelly is a freshman at OSU, so, hopefully, she will be with us for a long time. Welcome, Kelly.

Larry Landis and Janet Wendt attended the Northwest Archivists Conference in Missoula, Montana in May.


E-mail Addresses

The Archives, along with its parent office, Budgets and Planning, is using a new e-mail system, Microsoft Outlook. Thus, the e-mail addresses will change as follows:

Notable Recent Accessions

The Association of Latin American Students has donated its organizational records for 1994-1999, which include correspondence, membership lists, special event records, scrapbooks, and videotapes. The Association plans to continue transferring records on an annual basis.

The College of Forestry has transferred a group of records from the Dean's Office that include College of Forestry Records (RG 139) and Photographs (P 61), the Edgar P. Hoener Papers, an addition to the Paul M. Dunn Papers, and several College of Forestry publications.

In preparation for moving to the new OSU Foundation offices, the College of Agricultural Sciences Development Office and E.R. Jackman Foundation has recently transferred Jackman Foundation Records (RG 144) and an addition to the E.R. Jackman Papers to the Archives.

The Alexander K. Chapman Photographic Collection was recently donated by Chapman's daughter. The collection consists of mounted photographic prints assembled by Chapman as a student at Oregon Agricultural College and includes many portrait photographs of students from the Classes of 1909 and 1910.

Oregon State Board of Higher Education minutes for 1991-1998 and annual indices have been recently transferred by the Oregon University System Chancellor's Office.


Collection Descriptions Now Available

Descriptions of several collections have been recently completed and are available in the Archives and on the WWW. These include the Walter R. Baker Photographic Collection (P 18); the Alexander K. Chapman Photograph Collection (P 235); the Oregon State University Bulletin (PUB 5-24a), and several Forestry publications: College of Forestry Publications (PUB 356); Forestry Alumni Association (PUB 10-12c), and the Northwest Area Foundation Forestry Series (PUB 14-4).


May 1999 Announcements


Reference Room Opens

The OSU Archives Reference Room opened in late April in room B092 of the Kerr Administration Building basement. This new, bright space allows the University Archives to accommodate a larger number of on-site researchers at one time in a setting that is more conducive to scholarly research. The Reference Room is open 8-5 Monday thru Friday; an OSU Archives' staff person is available at all times to assist researchers and can be reached by calling 737-8391.

An open house will be held on June 9th from 3:30 to 5.


New Fax Number

The Archives has a new fax number: 541-737-0541.


Gifford Exhibit Moves Again

The Archives' exhibit, " Photos by Gifford: An Oregon Legacy," moved to the Multnomah County Central Library in Portland, where it will be on display in the Collins Gallery (3rd floor) from May 8 to June 25.


Notable Recent Accessions

In preparation for moving to the new Richardson Hall, the Forest Products Department has transferred a large volume of records (approx. 70 cubic feet) to the Archives. These consist primarily of records of research conducted in the Department and by the Oregon Forest Products Laboratory from the mid-1940s through the early 1990s. The bulk of the materials were added to the Forest Products Department Records (RG 3); however the accession also included Forestry Extension Records (RG 103) and College of Forestry Photographs (P 61). A significant component of the transfer comprise the personal papers of six Forest Products researchers: George Atherton, S.E. Corder, Leif Espenas, Douglas W. Glennie, Robert D. Graham , and James W. Johnson.

The Crop Science Department transferred the Te May Ching Papers to the Archives this spring. Ching was a professor of seed physiology in the OSU Crop Science Department from 1956 until her retirement in 1988. The Ching Papers include records of her research and teaching as well as her participation in international education and the Chinese student organization.

On the occasion of its 50th anniversary, the Western Small Fruits Pest Conference, an informal group of researchers from western states, has begun depositing its organizational records with the OSU Archives.

An addition to the Robert W. MacVicar Papers has been donated by his family.


New Collection Descriptions

A guide to the E.E. Wilson Papers, including a collection description with detailed biographical notes and a folder-level inventory, has been completed and is available to researchers in the Archives' Reference Room and on the WWW. The Wilson Papers are a significant resource for researchers' studying wildlife conservation and environmental history, Corvallis and Benton County, as well as OSU. This guide was prepared by Special Projects Assistant, Linda Hahn, during her 6-month appointment in the Archives.

A description and inventory for the Marian Field Collection has also been completed. The Field Collection consists primarily of pen and ink drawings of twigs of Oregon woody plants in the spring and summer, drawn as a Works Progress Administration (WPA) project between 1936 and 1941 for Frank Sipe, a University of Oregon botanist.


March 1999 Announcements


Moving Storage
Renovations are beginning on Room B092 in the Kerr Administration Building to transform it into a new reference room for the University Archives. The room, formerly used for storage, is next to the Archives main office (B094). It is expected that construction will take two to three weeks. During this time, Archives staff will be limiting on-site reference services. Phone, mail, and e-mail inquiries will not be affected.

Once the reference room is completed, the University Archives will be able to accommodate a larger number of on-site researchers at one time in a setting that is more conducive to scholarly research.


Staff News
Linda Hahn recently completed her temporary appointment as the University Archives' Special Projects Assistant. She will be completing her thesis for her master's degree in the History of Science and working on a paper to be given at a professional meeting at the end of March. We miss Linda already and wish her the best of luck.


New Accessions
Several accessions have been added to the University Archives' holdings in the past few months. A notable accession includes additions to the Extension and Experiment Station Communication Records, RG 69. A brief description of this accession and other recent new accessions can be viewed on the New Accessions Page. An addition to the John B. Horner Papers has also come into the University Archives.


New Collections include the Marian Field Collection.



Gifford Collection Exhibit moves on:
"Photos by Gifford: An Oregon Legacy" was hosted by the Pinckney Center Gallery at Central Oregon Community College in Bend from January 7 through February 5. Most recently, it opened at the Oregon State Archives in Salem on February 15 and will be on display there through May 7.
