This space is used to announce updates to the Oregon State University Archives and Records Management Web page, to introduce new exhibits, to publicize events of interest to archivists and university records managers, and to explain the happenings in the Archives. The following announcements highlight significant additions, changes and events that occurred in 1999.
New Records Schedule Available on the Web
The new General Records Retention Schedule is now available for use on the University Archives Web site at http://osulibrary.oregonstate.edu/archives/schedule/index.html. This schedule is a version of the Oregon University system records schedule (OAR 166-475) that has been customized for use by OSU staff.

Schedule Workshops
The OSU Archives and Records Management Program and OUS Records Management Services will be teaming up on December 14 to present two sessions of a workshop on how to use the new records retention schedule, "Understanding and applying the records retention schedule." The sessions will be from 10-11:30 am and 2-3:30 pm in MU 206. They are open to OSU departmental records officers and OUS Chancellor's office staff members who work in Corvallis.
The services and collections of the OSU Archives are showcased in a new display on the main floor of the Kerr Administration Building (near the central stairway). One or more of the images in the display will be changed periodically to highlight campus events, anniversaries, or traditions.
An OSU Archives' Sampler of Historical Images is now available on the University Archives web site. This page provides links to a variety of images from the OSU Archives' holdings. New images will be added regularly, so check it frequently!
Office of Budgets and Planning Records pertaining primarily to information resources and institutional research from the early 1960s to the present have been recently transferred to the Archives. These include faculty salary surveys and reports; staff statistics; reports of student enrollment, student credit hours, and instructional costs; and space utilization studies and facilities proposals.
A variety of materials pertaining to the OSU Bands from the mid-1960s through the 1990s have been transferred from the Music Department. These include programs, brochures, newspaper clippings, and correspondence about performances; sound recordings of Symphonic Band, Pep Band, and Jazz Ensemble performances; photographs of the OSU Marching, Symphonic, and Basketball Bands, Jazz Ensembles, and other musical events; and videotapes of OSU Marching Band performances.
In October Student Archives Assistant Amanda Sater resigned to pursue other interests, and the Archives welcomed Jothan (Jody) Lawrence. Jody also works in our parent office, Budgets and Planning, for part of his working hours. We welcome Jody, who already has been a great help in the Archives.
The Archives hosted an Open House to celebrate the opening of its new reference room on June 9th. It was well attended by friends and coworkers, with punch and cookies being served. If you haven't had a chance to stop by and see the reference room, please do so. It is open from 8 am to 5 pm Monday through Friday, and it is staffed by one of the archivists during those time periods.
Elizabeth Nielsen has been named the Senior Staff Archivist at the Oregon State University Archives. In this capacity, she will coordinate all reference, outreach and records processing activities.
Larry Landis was recently named University Archivist, after having served as Acting University Archivist since December 1996.
In June, the Archives said goodbye to Shawn Scarlett, our lead Student Worker. Shawn has worked in the Archives for 2 ½ years, and now is ready to start an internship in his chosen field of Pharmacy. We wish him good luck and hope he will stop in and see us once in a while.
The Archives has hired Kelly Thurman, a pre-med student from Corvallis. Kelly is a freshman at OSU, so, hopefully, she will be with us for a long time. Welcome, Kelly.
Larry Landis and Janet Wendt attended the Northwest Archivists Conference in Missoula, Montana in May.
The Archives, along with its parent office, Budgets and Planning, is using a new e-mail system, Microsoft Outlook. Thus, the e-mail addresses will change as follows:

The Association of Latin American Students has donated its organizational records for 1994-1999, which include correspondence, membership lists, special event records, scrapbooks, and videotapes. The Association plans to continue transferring records on an annual basis.
The College of Forestry has transferred a group of records from the Dean's Office that include College of Forestry Records (RG 139) and Photographs (P 61), the Edgar P. Hoener Papers, an addition to the Paul M. Dunn Papers, and several College of Forestry publications.
In preparation for moving to the new OSU Foundation offices, the College of Agricultural Sciences Development Office and E.R. Jackman Foundation has recently transferred Jackman Foundation Records (RG 144) and an addition to the E.R. Jackman Papers to the Archives.
The Alexander K. Chapman Photographic Collection was recently donated by Chapman's daughter. The collection consists of mounted photographic prints assembled by Chapman as a student at Oregon Agricultural College and includes many portrait photographs of students from the Classes of 1909 and 1910.
Oregon State Board of Higher Education minutes for 1991-1998 and annual indices have been recently transferred by the Oregon University System Chancellor's Office.
Descriptions of several collections have been recently completed and are available in the Archives and on the WWW. These include the Walter R. Baker Photographic Collection (P 18); the Alexander K. Chapman Photograph Collection (P 235); the Oregon State University Bulletin (PUB 5-24a), and several Forestry publications: College of Forestry Publications (PUB 356); Forestry Alumni Association (PUB 10-12c), and the Northwest Area Foundation Forestry Series (PUB 14-4).
The OSU Archives Reference Room opened in late April in room B092 of the Kerr Administration Building basement. This new, bright space allows the University Archives to accommodate a larger number of on-site researchers at one time in a setting that is more conducive to scholarly research. The Reference Room is open 8-5 Monday thru Friday; an OSU Archives' staff person is available at all times to assist researchers and can be reached by calling 737-8391.
An open house will be held on June 9th from 3:30 to 5.

The Archives' exhibit, " Photos by Gifford: An Oregon Legacy," moved to the Multnomah County Central Library in Portland, where it will be on display in the Collins Gallery (3rd floor) from May 8 to June 25.
In preparation for moving to the new Richardson Hall, the Forest Products Department has transferred a large volume of records (approx. 70 cubic feet) to the Archives. These consist primarily of records of research conducted in the Department and by the Oregon Forest Products Laboratory from the mid-1940s through the early 1990s. The bulk of the materials were added to the Forest Products Department Records (RG 3); however the accession also included Forestry Extension Records (RG 103) and College of Forestry Photographs (P 61). A significant component of the transfer comprise the personal papers of six Forest Products researchers: George Atherton, S.E. Corder, Leif Espenas, Douglas W. Glennie, Robert D. Graham , and James W. Johnson.
The Crop Science Department transferred the Te May Ching Papers to the Archives this spring. Ching was a professor of seed physiology in the OSU Crop Science Department from 1956 until her retirement in 1988. The Ching Papers include records of her research and teaching as well as her participation in international education and the Chinese student organization.
On the occasion of its 50th anniversary, the Western Small Fruits Pest Conference, an informal group of researchers from western states, has begun depositing its organizational records with the OSU Archives.
An addition to the Robert W. MacVicar Papers has been donated by his family.
A guide to the E.E. Wilson Papers, including a collection description with detailed biographical notes and a folder-level inventory, has been completed and is available to researchers in the Archives' Reference Room and on the WWW. The Wilson Papers are a significant resource for researchers' studying wildlife conservation and environmental history, Corvallis and Benton County, as well as OSU. This guide was prepared by Special Projects Assistant, Linda Hahn, during her 6-month appointment in the Archives.
A description and inventory for the Marian Field Collection has also been completed. The Field Collection consists primarily of pen and ink drawings of twigs of Oregon woody plants in the spring and summer, drawn as a Works Progress Administration (WPA) project between 1936 and 1941 for Frank Sipe, a University of Oregon botanist.

Renovations are beginning on Room B092 in the Kerr Administration
Building to transform it into a new reference room for the University
Archives. The room, formerly used for storage, is next to the
Archives main office (B094). It is expected that construction
will take two to three weeks. During this time, Archives staff
will be limiting on-site reference services. Phone, mail, and
e-mail inquiries will not be affected.
Once the reference room is completed, the University Archives will be able to accommodate a larger number of on-site researchers at one time in a setting that is more conducive to scholarly research.
