Policy for Borrowing Materials from the Archives



1. Archival materials are normally used only in the Archives. However, in extraordinary circumstances and with special permission from the Archivist, OSU departments and other organizations may borrow materials for use outside the Archives.
2. Any mutilation, alteration, or disarrangement of archival materials will not be tolerated. The borrowing organization will be charged for all repairs or cost of replacement and will be prohibited from borrowing archival materials in the future.
3. The RECEIPT FOR ARCHIVAL MATERIALS form will be completed and signed by the individual receiving the materials and an Archives staff member.
4. The borrower must provide for the security of documents against loss or damage while they are out of the Archives. They should be stored in a secure location, out of direct sunlight, and at a fairly constant, low temperature and humidity (70-75oF and 45-50%RH).
5. All materials must be returned to the Archives by the date shown on the completed RECEIPT. Materials are to be returned to the Archives in person.
6. The borrower is required to use the materials with the same care and consideration that is practiced in the Archives:
a. Eating, drinking, and smoking are prohibited around documents.
b. Do not rearrange documents under any circumstances. If there are any apparent misfilings, report them to the Archives staff upon return.
c. Use pencils only around the documents. Do not write on top of the documents.
d. All who use the documents are expected to have clean hands.
e. Use cotton gloves when handling photos.
f. No adhesive post-it notes will be used to mark original documents.
g. Unauthorized copying of materials is forbidden.
7. Abuse of loaning privileges is grounds for discontinuing this service.
