Digitized Reproduction (Scanning) Policy and Procedure
Effective 1 July 2004


The University Archives provides digital reproduction (scanning) services of materials in the Archives' collections for a fee of $5.00, but reserves the right to restrict reproduction of its materials due to condition, size, or donor requirements. Any manipulation of digitized images beyond cropping and minor adjustments to balance and contrast is strictly forbidden.

All images will be scanned at high resolution (minimum 600 dpi) in TIF format.

Digital reproductions will be provided on a ZIP disk, or CD-R.

There is no additional charge for providing the images on a ZIP disk, which will be supplied by the patron. A $10 service fee is charged per order for individuals and non-OUS organizations.

Prepayment is requested for all digital reproduction services and required for all orders over $10. University accounts can be billed directly.

Digital reproductions will be available for pick-up in the Archives within 7 business days. For orders that are to be mailed (for a $2.50 fee), please allow 2-3 additional business days for arrival. With special permission of the University Archivist and as staff time allows, "rush" orders may be accepted for an additional charge.

Permission to Publish or Display
The Archives encourages use of reproductions of Archives photographs in publications, public displays, and on World Wide Web pages. However, permission must be obtained on the Archives' "Request for Permission ..." form. Patrons are responsible for observing all U.S. Copyright regulations.
