1. Disaster Plan and Larry Landis' Comments :
- There is a need to incorporate Archives into the library's disaster plan
- The disaster plan is missing specific salvage instructions for collection items such as photographs
- Lorraine will ask Larry for a draft of salvage instructions for special items by Sept 10
- Need to address Archives priorities in relation to library priorities in the event of a disaster
- Lorraine will invite Larry to the Sept meeting to discuss Archives issues
- Storage area and archival materials priorities - Lorraine and Tiffany will prioritize by the Sept meeting
2. Fire Department Report
- Faye reported that the previous fire code problems with the library building have been fixed. Problems relating to Facilities Services have yet to be fixed. The re-inspection will occur on Aug. 12.
- Faye has distributed the revised library emergency procedures to all emergency manuals in the building.
3. Code of Conduct
- Does the library need a patron code of conduct. Many libraries have them, esp. public libraries.
- The committee will review an example by the Sept meeting & Lorraine will provide copies.
4. Evacuation Procedures
- The library is still having some problems evacuating the building during fire alarms.
- Sources of problems due to minimal staffing and staff unsure ness of procedures
- Problems include keeping patrons away from the east and west sides of the building, using the emergency exits rather than the main entrance (poor signage & 'scary' exits are factors), who is responsible for the all-clear signal (who at OSU is responsible - staff at main entrance will be libraries point person), staff hesitancy during initial evacuation period (staff not practicing the evacuation procedures).
- Student assistants are OK to use during emergency situations
- It was decided that an evacuation drill will occur during the 3rd week of Sept. Faye and Bryan will work on the details and report at the Sept 10 meeting. The fire dept recommends an early morning drill but and evening drill will also be needed. A way to communicate between staff is also needed and Faye and Bryan will check on walkie talkies for that purpose.
5. Earthquake Drill
- An earthquake drill will be held during the week of Aug 12-16
- Focus on keeping people inside of the building during the earthquake rather than evacuation
- The drill will occur with a PA announcement and applies to everyone in the building
- Faye will send out an announcement to all library staff of the drill
- Penny and Laurel will work on a PA announcement simulating an earthquake
- The drill will be coordinated by Faye and Catherine
- There will be a staff debriefing after the drill covering what went well as well as what did not
6. Action Items
- Lorraine will ask Larry Landis for a draft of salvage instructions for special items by Sept 10.
- Lorraine will invite Larry Landis to the Sept meeting to discuss Archives issues
- Lorraine and Tiffany will prioritize archival storage materials by the Sept meeting
- Lorraine will provide copies of a Patron Code of Conduct example. Committee will review by Sept meeting.
- Faye and Bryan will create procedures for an evacuation drill in September and report by Sept 10.
- Faye and Bryan will check on walkie talkies for communication purposes during evacuations
- Faye will send out an announcement to all library staff of the drill
- Penny and Laurel will work on a PA announcement simulating an earthquake
- Faye and Catherine will coordinate the earthquake drill
