1. Disaster Recovery Plan :
The committee will all look at the current Disaster Recovery Plan and send revisions to Lorraine by Oct. 18.
2. "9"-911
The OSU Emergency manual needs to add a "9" to the 911 number on the front. Please add this by pen to any manuals you use.
3. Evacuation PA Announcements
- The Evacuation PA Announcements have been shortened in wording to ease the amount of information taken in during an emergency.
- The revised version will be displayed on the web site and next to the PA.
4. Library Emergency Procedures
The committee decided to use the OSU Emergency Manual as the base for the Library Emergency Manual with a few additions for library-related issues. This way we won't be creating an entirely new manual.
Library-related issues include:
- Contact info: List of people to contact during an emergency (1. Katherine Murray-Rust (Building Manager), 2. Karyle Butcher (University Librarian), 3. Jim Corbin (Asst Building Manager )
- Power outage information (weekday & evening/weekend). Karen will check to see if fire alarms are on backup power generator.
- Evacuation information of library building.
- Elevator problem procedures
5. Floor Monitors
Weekdays
- Committee prefers to have departments clear particular areas of the library rather than assigned individuals. Avoids problem of assigned individual monitors not being in the building during an emergency.
- Staff will not clear floors, only watch exits so no one reenters the building.
- Staff will make sure people move away from the building (outside of the plaza area at the main entrance, across the street at the west emergency exit, and beyond the vehicle path at the east emergency exit).
- Bull horns are available for the door monitors. Printed instructions and announcements will be provided with the bull horns. 2 will be placed in the Access closet (front (main entrance) door). 2 will be placed at the Reference desk (for both emergency exits at the east and west ends of the 1st floor). Bull horns will be used to notify patrons to distance themselves from the building and when it is safe to reenter the building.
- Access Services staff will be responsible for the main front doors and the public announcements.
- Reference Desk staff will be responsible for both emergency exits at the east and west stairwells.
Evenings and Weekends
- Committee will formulate an evening and weekend plan at the next meeting based on the weeday criteria.
6. Action Items
- Committee will send Disaster/Recovery Plan revisions to Lorraine by Oct. 18
- Lorraine will revise the Disaster/Recovery Plan by the next meeting.
- The revised Emergency Manual will include "9"-911. Until then, current manuals need the "9" added.
- Lorraine will revise the library portion of the Emergency Manual
- Bryan will place the revised Evacuation Announcements on the web and next to the PA
